Effective August 28, 2026
These Terms govern billing for Ancarna Digital services. They are written to make billing simple and predictable, so your projects stay on schedule and you are never surprised by an invoice.
If you ever have a question about billing or scope, ask. We would rather clarify early than untangle it later.
Signed agreements take precedence. Where a separate signed addendum, statement of work, or engagement agreement sets different terms for a specific engagement, including its length, its cancellation or notice requirements, or its scope of work, that document governs for its stated period. These Terms apply only to matters that document does not address.
Which version applies to you. These Terms take effect August 28, 2026 and apply to agreements entered into on or after that date. Agreements entered into earlier remain governed by the version of these Terms in effect at signing, which remains available at Billing Terms, February 14, 2026.
Monthly services are billed month to month. There is no minimum commitment, no build fee, and no setup fee.
We recommend planning for at least 90 days. That is typically when the earliest changes in visibility, response, and follow-up become measurable, and shorter engagements rarely give the work enough time to show up in the numbers.
We accept payment by credit card, debit card, or ACH through our electronic invoicing system.
Invoices are sent electronically and paid by you on or before the due date. Autopay is available if you would like your saved payment method charged automatically; ask us to enable it.
Electronic payment keeps processing fast and consistent. Checks are discouraged and accepted only with prior written approval. A check payment is not considered received until the check clears.
Invoices are issued on or around the 1st and the 15th of each month. Standard payment terms are Net 30 from the invoice date unless your agreement states otherwise.
Payment is due on the due date shown on the invoice. Alternative arrangements may be available and require written approval in advance.
We send an automated reminder on the due date, again 14 days after, and again 30 days after, for any invoice that remains unpaid.
If a payment becomes overdue we follow the steps below, so expectations stay clear and consistent. If you anticipate a delay, reach out as early as possible.
Grace period. A 14-day grace period begins the day after the due date. No late fees accrue during that time.
Late fee. When the grace period ends, a late fee of 15% of the unpaid invoice balance, including any applicable sales tax, is applied. The fee is added to the invoice and repeats monthly for as long as a balance remains unpaid.
| Days past due | What happens |
|---|---|
| 1–14 | Grace period. No late fee. |
| 15 | A late fee of 15% of the unpaid invoice balance, including any applicable sales tax, is applied to the invoice. |
| 30 | A cancellation warning is issued and services are paused until the balance is paid in full. |
| 45 | A further 15% late fee is applied, and monthly thereafter while a balance remains. |
| 60 | Services are cancelled, the balance is due upon receipt, and unpaid balances may be referred to collections. |
Repeat lateness.
You may cancel at any time before your next invoice date. Cancellation takes effect at the end of the period already paid for, and no further invoices are issued.
Cancellation does not waive amounts already due, including out-of-scope work performed and usage charges incurred before cancellation.
On cancellation you keep your website, your domain, your content, and your accounts.
Returned checks incur a $25 fee, and the outstanding balance must be paid immediately.
If something does not look right, tell us quickly so we can review it while details are fresh. Any dispute related to services or invoices must be submitted in writing within 15 days of the invoice date. Disputes received after this period may not be considered, and full payment is expected by the due date.
If you are unsure about an invoice, email us and we will walk through it with you.
Refunds or credits are issued at Ancarna Digital’s discretion and are typically provided only for billing errors.
Your plan defines your scope. Work that falls within your active plan or agreement is included at no additional charge. Work requested outside it is out-of-scope and billed separately under this section.
Where your plan includes routine content updates. Routine content updates are not billed hourly. Routine means text edits, image swaps, service and hours changes, staff updates, testimonials, contact details, and calls to action. Requests are worked one at a time in the order they arrive, and most go live within one business day. That queue is the only limit; volume is not billed.
Routine does not include redesigns, custom development, or new functionality. If a request falls outside routine we tell you before we start and quote it under the hourly terms below.
Where your agreement does not include an update allowance. Website content updates, design or functionality changes, marketing tasks, and other services not covered by your agreement are out-of-scope and billed at the hourly rate below.
Standard out-of-scope hourly work. Out-of-scope work is billed at $100 per hour in 15-minute increments. You receive an itemized invoice detailing the work performed, time spent, and charges. Hourly invoices follow the same due dates and late-fee structure as any other invoice under these Terms.
Specialty services. Certain services, including photography, videography, drone work, and media production, are billed at their own established hourly, half-day, or full-day rates based on scope and required resources. These rates are provided in writing before scheduling and must be approved before work begins. This applies to media work beyond any allotment included in your plan or agreement.
Pre-approval. Before any out-of-scope work begins you receive a cost estimate for approval. Nothing is billed without your approval. By authorizing the work you agree to the applicable rates and payment terms for that request.
Where your plan includes managed advertising, your advertising budget is separate from your monthly fee.
You pay the advertising platforms directly from your own account. Ancarna does not hold, invoice, or mark up advertising spend. You retain ownership of and access to your advertising accounts.
You set your advertising budget and may change it at any time with written notice. We recommend the channels your budget can realistically support rather than spreading it across all available platforms.
If a payment method on an advertising account fails or a platform suspends the account, campaigns may pause until you resolve it directly with the platform. Ancarna is not responsible for platform suspensions, policy rejections, or results affected by a lapse in advertising funding. Your monthly fee is unaffected by a pause in advertising spend.
Some services are billed based on usage. Certain limits, restrictions, and rates apply depending on which usage-based services are active on your account. Those limits and rates are provided to you in writing.
Usage beyond an included allowance is the responsibility of the client and is billed accordingly, itemized on your next regular invoice. Overage charges follow the same due dates and late-fee structure as any other invoice under these Terms.
